Estate Planning and Probate Paralegal

Job Description: Estate Planning and Probate Paralegal

Position Overview: We are seeking a detail-oriented and knowledgeable Estate Planning Paralegal to join our legal team. As an Estate Planning and Probate Paralegal, you will play a crucial role in assisting attorneys in all stages of estate planning, Probate, and administration processes.

Responsibilities:

  • Collaborate with attorneys to gather, analyze, and organize client information.
  •  Assist in drafting estate planning documents, including wills, trusts, advance directives, and powers of attorney.
  • Conduct thorough legal research to ensure the accuracy and compliance of estate planning documents with current laws and regulations.
  • Draft Probate pleadings and provide essential administrative, research, and organizational support to attorneys and their clients.
  • Coordinate and schedule client meetings, maintaining communication to ensure efficient progress of cases.
  • Communicate with clients to gather necessary information, answer inquiries, and provide updates on case status.
  • Prepare and file legal documents with courts and government agencies as required.
  • Maintain organized and comprehensive electronic and physical case files.
  • Assist in the administration of trusts and estates, including managing assets, tracking distributions, and ensuring compliance with terms.
  • Collaborate with financial institutions, insurance companies, and other relevant entities to facilitate the transfer of assets.
  • Facilitate the transfer of real estate titles and handle property-related documentation.
  • Coordinate and assist in the preparation of fiduciary income tax returns, as needed.
  • Support attorneys in preparing for client meetings, hearings, and court proceedings.
  • Stay up to date with changes in estate planning laws and regulations.
  • Assist Estate Planning Group with document assembly processes and document creation and have the capability to self-teach new technologies.
  • Provide exceptional customer service to clients, addressing their concerns and inquiries professionally and promptly.

Qualifications:

  • Associate degree or higher in Paralegal Studies or a related field. Certification as a paralegal is a plus.
  • Proven experience as an Estate Planning Paralegal with in-depth knowledge of estate planning procedures, terminology, and legal concepts.
  • Proficiency in legal research and document drafting.
  • Strong attention to detail and excellent organizational skills.
  • Clear and effective communication abilities, both written and verbal.
  • Ability to work independently and collaboratively within a team.
  • Discretion and ability to handle sensitive and confidential information.
  • Strong time management skills and ability to prioritize tasks in a fast-paced environment.
  • Familiarity with relevant federal and state laws pertaining to estates, trusts, and taxation.
  • Experience in fiduciary income tax preparation is a plus.

Legal Assistant

Job Description: Legal Assistant 

Position Overview: The Legal Assistant position requires a professional corporate image, both in person and on phone interactions with clients, attorneys, and other staff.   A successful Legal Assistant is resilient, confident, flexible, able to schedule and manage the attorney’s calendar and itinerary, receive and screen callers, prioritize and refer information appropriately, edit documents and prepare them for attorney approval, and maintain records and files.  The Legal Assistant must be a proven clear thinker, well organized, levelheaded, and solution oriented, as well as being a self-starter, efficient, productive, and able to work well with a team.  Knowledge of legal terminology and prior law firm experience is a plus for the position.

Responsibilities: 

  • Document preparation – Legal Secretaries often prepare or revise documents that have initially been drafted by either an attorney or paralegal, including legal briefs, court subpoenas, spreadsheets, corporate documents, security documents and other office-related letters. This job duty requires strong typing and dictation skills.
  • File management – maintaining client or attorney records and files in an organized, efficient manner, allowing the attorney and law firm to run effectively.
  • Document production – photocopying and reproducing documents for attorney and client files, storing documents electronically as needed to eliminate paper files.
  • Staff Support – Willingly provide coverage for the receptionist or other Secretaries as the need arises.
  • Other – Provide other clerical and administrative duties as requested by the attorneys or firm administrator.

Qualifications: 

  • Excellent computer skills, able to learn new and existing systems quickly. Proficient in document management systems, telephones, and Microsoft Office, including Word, PowerPoint, Excel, and Outlook.
  • Exceptional communicator, able to interact with lawyers and clients on a regular basis.
  • Resourceful, ability to research, finding information to help / support an attorney or case.
  • Strong organizational and analytical skills with attention to detail.
  • Adaptive, agile, and self-motivated. Able to work under pressure.
  • Possess a high degree of creativity and problem-solving abilities.
  • Team player, willing to help as needed and volunteer to lead or participate in projects as the need arises and to work amicably and professionally with other staff members.
